Digital waste tracking is now mandatory for receiversThe guide

LoadSnap, for the people at
moving the waste.

Waste carriers of every kind - skip hire, grab lorries, tipper crews, and the trades and mobile businesses that carry their own waste as self-carriers. Capture every load at the kerb, classify it against 850+ EWC codes, and hand the DEFRA paperwork to LoadSnap. Designed around your driver - not your office.

How it works

How it works for carriers

Planning it as a job puts one step in front. Everything from the driver onwards is the same either way. Carriers do not file with DEFRA yet: DEFRA takes waste tracking submissions from receiving sites for now, and carriers, brokers and dealers are planned for October 2027, with the way they will file still unpublished. Everything it will ask for is already on the record, and your transfer notes are there to view, print or send today.

How the collection starts

OfficeDriver

Job step

The office plans the job

Customer, site, vehicle, driver and the waste you expect. The driver sees it on their phone with navigation

The driver captures the load

A photo of each item where the load is visible; sealed containers are keyed in

The code comes back

EWC code, description and the hazardous flag suggested from the photo. The driver can change any of it

Signed at the kerb

The driver signs on the phone, and the customer signs too if they are there

The office finishes it

Photos, driver and vehicle are already there. Add the customer, the destination and anything the run missed, then approve

Transfer note ready

View it, print it or send it. The record stays in LoadSnap

Customer request link

Let your customers request collections

Share a link. Your customer describes the waste, AI classifies it, and the request lands as an enquiry you convert to a job in one click.

Customer describes waste

Plain English. No EWC codes. Optional photos. Companies House auto-fill

AI suggests codes

EWC codes suggested from description and photos, with confidence scores

Enquiry arrives

Lands in your Enquiries page with customer, waste, containers, timing

Convert to job

One click. All fields pre-filled. Assign driver and vehicle. Done

Your customers get a professional experience. You get structured enquiries instead of phone calls.

Beyond compliance

More than just compliance

Your drivers have a portal. Your vehicles are tracked. Your data connects to your accounting.

Vehicle checks

Daily pre-use checks with photo issue reporting, odometer tracking, MOT and tax alerts

Driver management

Full profiles. Licence expiry. Training records. Smart assignment matching qualifications to job requirements.

Job scheduling

List, calendar, and map views. Assign drivers and vehicles. One-tap navigation via Google Maps or Waze.

Driver map

See where drivers last completed a job. Timestamps and job locations with the day's route.

Expense + fuel logging

Drivers photograph receipts. AI reads amount, merchant, litres. Admin approves. CSV export.

Fuel finder

Live fuel prices at every UK station, filtered by fuel type. Powered by FuelChecker.

Route planning

Jobs on a map with optimised stop order. Turn-by-turn via Google Maps or Waze. No app.

Digital signatures

Customer signs on the driver's phone. Signature embedded on the Waste Transfer Note PDF.

The carrier workflow

Everything between the yard gate and DEFRA submission.

One screen for the driver. One screen for the office. Every record gets to the regulator without anyone retyping it.

Driver app

No-install web app the driver opens from a link; the iPhone and iPad app is on the App Store. Works offline. The driver's up in minutes.

AI classification

Photo of the load → EWC code, hazardous flag, plain-English description in under a second.

Carrier verification

Every onward carrier auto-checked against the Environment Agency public register at booking time.

Fleet & vehicle checks

DVLA-linked checks, MOT history, defect logs, walk-arounds - captured before the wheels turn.

Job scheduling

Drag-and-drop jobs onto crews. Recurring contracts. Driver gets the run on their phone.

Invoicing

Contract → quote → invoice → export to Xero, Sage or QuickBooks. No double-keying, no missed loads.

Carrier-side superpower

The driver opens an app. The office gets a complete record.

Every step - customer, photos, weight, EWC, signature - is captured at the point of work. By the time the truck is back, the WTN is filed, the invoice is queued, and the DEFRA submission is on its way.

  • Customer signature on the screen

No more chasing for paper. Producer signs, copy goes to their inbox, original is on the WTN.

  • Carrier licence verification

Onward carriers and subbies checked against the EA register at booking, not at audit time.

  • Sage / Xero / QuickBooks export

A file built for each package's own importer, not a generic spreadsheet. CSV and API for everything else.

Questions

Carrier questions, answered.

01Is LoadSnap only for small carriers?
No. LoadSnap is a full platform for waste carriers of every size, from a one-van operation to a multi-depot fleet, and it scales to enterprise with API access and white-label. It is not a light add-on; it runs the driver, the office, the fleet, the assets and the compliance in one place.
02I carry my own waste - am I a self-carrier?
Yes. A business that carries the waste it produces, such as a builder, landscaper or shopfitter with its own van, is a self-carrier, and LoadSnap is built for you too: capture the load, classify it, raise the transfer note and submit to DEFRA.
03Does it track my skips and containers?
Yes. Skips, roll-on-roll-off containers and bins are tracked as assets, assigned to jobs and vehicles, and followed through deliver, exchange and collect. You do not need a separate skip-hire system.
04Is invoicing built in?
Yes. Jobs become quotes and invoices automatically, with contract and spot pricing, and export to Sage, Xero and QuickBooks. Billing is part of the platform, not a separate tool.
05Is DEFRA submission included, and is LoadSnap on the GOV.UK provider list?
DEFRA Digital Waste Tracking submission is included on every plan. LoadSnap files live to DEFRA Digital Waste Tracking (DWT), took part in its beta, and is listed on the GOV.UK report-receipt-of-waste software-provider list as Webhero - LoadSnap. Carrier reporting becomes mandatory in a later phase; LoadSnap is ready now.
