An example transfer note.

This is a real LoadSnap-generated Waste Transfer Note - the document produced from a movement and kept on file. Every collection produces one like it, with the parties, the waste described against EWC codes, signatures, and the DEFRA Waste Tracking ID once filed.

  • Duty-of-care parties: producer, carrier, receiving site
  • Waste described line-by-line against EWC codes
  • Weighbridge weight, container types and forms
  • Tracking ID + QR to verify on gov.uk

Questions

Good to know.

01What documents does LoadSnap generate and store?
Waste transfer notes (WTNs), hazardous waste consignment notes (HWCNs), weighbridge receipts, and any certificates or photos attached to a movement. Each is generated from the record and stored against the movement it belongs to.
02How long are documents kept?
For as long as your plan is running. Nothing is aged out behind your back, so a transfer note from your first month is still there in year six. The statutory minimums are two years for a transfer note and three for a hazardous consignment note - five if you are the permitted site receiving it - and every document is stamped with its own retention date so you can see when it stops mattering.
03What happens to my documents if I stop paying?
We email the account owner the day the plan ends, telling them the date the records come off. You then have 90 days to download everything - one file with every record, transfer note and consignment note in it - and after that we remove them. Keeping the notes for the statutory period is the duty of the business that produced, carried or received the waste, not ours, so the 90 days are there for you to take your copy. Starting a plan again stops the clock, and there is an Archive plan if you would rather we kept them searchable.
04Can my customers get their own copies?
Yes. Producers can self-serve their own WTNs from the producer dashboard, and you can export a date range or a customer's full history as a zip for an audit or handover.
05Is the document the legal record?
The WTN carries the duty-of-care detail required under the Environmental Protection Act, plus the DEFRA Waste Tracking ID once the movement is filed. It's designed to be the record you hand an auditor.
